On-demand IT solutions |
To ensure a successful IT implementation, you must be detail-oriented and comprehensive. Our analyse, design, build and deliver hardware and software solutions process gives us the tools to do the job right, from scope and business case to training, support, and beyond. In the diagram below are presented the IWSC methodology phases for on-demand solutions. |
|
During the Analysis and Design phase, the IWSC implementation team works closely with you to do:- Project Scoping - we define, describe, and set up a framework for the implementation.
- Project Analysis - we specify your business process needs.
- Project Design - we describe your solution, services and activities for the implementation, testing, and implementation plan for the complete project.
The purpose of the Analysis and Design phase is to set down in writing the exact specifications of your project, deliverables, and implementation.
Project Scoping
We start working with you to determine the scope of your implementation project as early as the sales phase. The project team (made up of skilled implementation staff at IWSC and your own employees) is assembled, and meet to gather consensus as to what the implementation project will cover, and how the project will be governed.
Although we have an entire segment dedicated to analysis (see below), Project Scoping enables us to do a preliminary analysis of your business situation so that we can plan and outline the project together. The joint project team will set out:- The time frame for the project,
- The milestones,
- The business processes to be automated or streamlined,
- A product description,
- Your expectations of how the project will improve your business,
- Critical success factors to ensure we know the project is a success,
- Roles and responsibilities, and
- Other definitions and descriptions as needed.
The final result of this segment is the Project Scope document, which we use while developing the requirements and your custom solution.
Project Analysis
During the Analysis segment, our project team meets with key people throughout your organization. We ask employees, management, and other stakeholders about the exact requirements you need for the implementation. This in-depth meeting and interview process is the most thorough way for us to understand requirements across the organization, in preparation for designing your complete solution as defined in the Project Scope document.
We summarize the information we gather during the interviews and workshops in a Requirements Analysis Deliverable document.
Project Design
Once we know exactly what's required, our joint project team meets in internal and customer workshops to map your needed solution to the technologies available. Not everything you need implemented will have a ready-made solution in the technology - that's where we record a "gap". That's where our skill in custom integrations and modifications will later come into play.
This is an ongoing process. The end result is your Solution Design Document, that will be a combination of standard technology, customizations, IWSC proprietary and third-party solutions. This document ensures that your needs will be met - and that we'll both avoid "scope neglection", where added features can rapidly get out of hand.
Once you review and sign off on the Solution Design Document, we move on to the Build phase. |
During the Build phase, we do exactly that: build the solution you need. Based on the Solution Design document from the Analysis and Design Phase, IWSC builds the solution you will be using, followed by new customizations and integrations.
Working with you, we run extensive tests on the solution to make sure it performs to specifications, then write the comprehensive documentation that your employees and our implementation specialists will use going forward.
While we work, we'll be creating technical specifications for each aspect of the project. That way, we can keep track of the solution in order to implement it accordingly.
As you can see in the diagram above, during the Build phase we'll be preparing to train your employees at the same time as implementation goes ahead. We'll train your project team members so they can conduct "train-the-trainer" activities with power users in your company and share the knowledge about your solution in the most efficient way possible - and at the right time.
Once testing is completed, and you have reviewed and signed off on development, we move on to the Implementation phase. |
Once we have designed and built a robust solution for your organization, we will work closely with you to bring it in-house and prepare it for deployment.
Any new technology has the possibility of disruption both in terms of existing business processes, corporate culture, and end-user training. IWSC has the experience and expertise to minimize and eliminate these risks. Our methodology provides built-in fail-safes to make sure that your organization is ready and willing to work with the new solution as soon as it's ready to be deployed.
First, we convert your data as required to work with the new solution (if it is the case).
Second, the software, which has been designed to meet your exact requirements, is tested and tested again to make sure it's operating flawlessly.
Third, your users and power users are trained on the aspects of the new solution they need to be familiar with. Not only does this increase their productivity, but you'll find that involving your employees as early as possible in learning the new system produces buy-in.
Once the implementation has been tested, documented, and taught to your employees, IWSC is ready to help you take it live - the point where all of the investment and hard work pays off.
At the same time as we are implementing your solution, we are training your employees. Read more about user training in Training phase.
Once your implementation has been installed and tested, IWSC is ready take it to the Live phase. |
Once IWSC has set up your solution within your organization, it's time to go live. In phases, you will start using the new solution. This can be the most difficult phase in any implementation, but our methodology ensures it's a straightforward process.
At the beginning of the Live phase, we are on site at every one of your solution locations to focus on the functionality of the solution and make sure it is up and running.
At the same time, we're also on hand to check how the solution is performing under real-world situations. If it's been set out in your contract, we'll analyze usage results over a period of time and tweak the solution for the best performance possible.
Once everything's running smoothly, and we've done a live test, we'll put together a detailed project review to show you the challenges and obstacles we've overcome together, any rough spots, and the improvements in efficiency and cost your system will bring.
IWSC is ready to help you on a going-forward basis if you need support or modifications to your implementation. |
Once your solution is "live", IWSC can provide you with support. This intensive support is designed to make sure you're on track throughout the first month of going live, where issues may first arise.
After the first month, support is handed over to our Support Desk, which will provide you with regular technical support during the life of your contract, based on your support and service agreements.
Going forward, you can rely on us for more than just technical support. If you need to train new users, our training department can set up on-site classes. And, if your business needs change, we can upgrade, modify, or include new integrations to your solution.
Our commitment to you starts when you take us on, and continues long after your implementation is live. We will ensure your solution meets your needs now, and in the future. |
If you're considering a new solution for your business, you may be concerned about the time it will take to develop, implement and test it. Horror stories abound about endless implementations that go over budget and don't fulfill their business needs.
IWSC uses standard tools and best practices to make sure your project is delivered as quickly as possible, to the agreed requirements, and within budget. Our methodology uses project management methods, so you can see the progress of your project at each step. With precise project management, we keep you fully informed of issues, risks, budget usage, and other critical metrics of your ongoing implementation. Our methodology includes clear and concise communications using a set of common definitions and standardized reporting tools. It promotes success through:- Transparency – activities and time schedules so you can see what is happening within your implementation project
- Information – communication, reports, and regular meetings
- Cooperation – control and delegation of responsibilities
- Setting and meeting requirements – agreements, documentation and customer specifications
Project Management
Project Management encompasses all of the Phases, Activities and Tasks required throughout the implementation life cycle. Tasks we perform for you include:- Planning - Scheduling and prioritizing work by drawing up plans, including estimating and allocating resources.
- Risk Management – Analyzing and monitoring risks to reduce the impact of otherwise unforeseen circumstances.
- Issue Management - Efficient management and control of any project problems.
- Status Reporting - Coordinating communication between you, the project team, and any third-party suppliers.
- Project Administration - Project administration using project management tools.
- Project Change Management - Evaluating, scheduling and managing any changes that arise.
Why Our Methodology Works
Our methodology ensures:- Quality throughout the entire process. Through adherence to standards, testing, control over implementation, and managing any deviations, we ensure the quality and delivery of the best possible solution and implementation for your organization.
- Management of the project from the first day of the project to the very last.
- Communication and information, through accurate project management, up-to-date reporting both written and verbal, and through standard communication tools.

The latest technologies and best implementation won't work for your organization unless your employees and other stakeholders are ready, willing, and able to use the new systems and solutions. IWSC understands that training is a critical part of ensuring your implementation's success.
Our methodology requires training to run parallel to the Implementation Phase. Rather than design and build the solution separately, and then train your staff after it's complete, which is how most IT implementations are done, IWSC involves your staff from the very beginning. We make sure their input is heard, and that they are familiar with new policies and procedures once you're ready to migrate to the new system or use the new solution. Your employees will feel fully engaged in the process.
Because at IWSC we have it all, you'll be able to get every type of training you need. Whether you want to train everyday users on basic procedures, or technical staff on advanced IT issues and reporting, we provide you with a range of on-site classes tailored to your needs.
To ensure advanced users retain technical knowledge, and can make the best use of your implementation, we write clear and straightforward documentation for you during the Build Phase.
Our team has the expertise and experience in IT, and the communication skills and clarity to teach it to your employees. You can rely on IWSC for all of your training needs.
Once your employee training is finished and the implementation is complete, IWSC is ready take it to the Live phase. |
